Registration Information

Since INORMS 2021 congress will be held fully online, Deadlines, Registration Fees and the Cancellation Policy have been revised as follows. Those who had paid registration fee including Congress dinner and Visa will get refund. Please refer to the Refund Policy of Registration Fees. If you had paid registration fees and have not received an e-mail with a refund form, please contact the INORMS 2021 Registration Desk (inorms2021-regist@or.knt.co.jp).

Participants are required to register online and complete payment by their corresponding registration (Early bird / General / Late) deadline

General deadline: Thursday 17:00 Japan time, April 15, 2021 *revised

- Interactive Communication Tools, Meeting Hub and Discussion Forum (Chat systems) on the virtual plat form
- Orizuru Notebook (Orizuru Notebook is made of paper recycled from Orizuru (paper cranes) to express wishes for peace. Hiroshima Peace Memorial Park receives millions of these paper cranes from Japan and abroad every year. Orizuru Notebook as a token with the wishes for global peace will be physically distributed by mail to each delegate who virtually participates in INORMS 2021.)
- Virtual Exhibitors' booths
Exhibitors' brochures and videos will be available. Delegates can communicate with exhibitors via a text-based Meeting HUB, which includes live interactive hours specified by each exhibitor between May 24 and 27, 2021 (JST).
*3 - A category of Day pass has been deleted and those who has applied Day pass category will be requested to change the category (Full-delegate).
- On-site registration has been deleted and we have extended the deadline of Late registration.
- Fee for the Congress Dinner and Visa will be fully refund.

Payment


Payment is only possible by credit card. Full payment must be received before the corresponding registration (Early Bird/General/Late) deadline. Any registration fees of General Registration still outstanding one week after the closing of the General deadline (Thursday 17:00 Japan time, April 15, 2021) will be automatically upgraded to the Late fee. If payment is not completed by the Late deadline (Friday 17:00 Japan time, May 27, 2021), your registration will be canceled automatically.

Change and Cancellation Policy


If you want to make changes to or cancel your registration, please send a written notification to the INORMS 2021 Registration Desk.
Changes and cancellations will be processed during our working hours (Monday - Friday 9:30-17:00 Japan time except for weekends and national holidays in Japan). Requests for changes and cancellations received outside our working hours will be processed on the next working day, which may incur additional charges.

Until Thursday April 15, 2021 ----- 25% refund minus fees
On and after Friday, April 16, 2021 ----- No refund

Note:
*1 Basically, refunds will be made to the credit card which was used for your registration. Credit card service fees and the system administration fee (300 JPY) will be deducted from the amount. Please note that refund requests made after 150 days from the date of payment will only be processed through bank transfer. The bank transaction fee and the system administration fee (300 JPY) will be deducted from the amount. For more details, please refer to the Credit Card Refund Policy.

Credit Card Refund Policy


In general, the refunds will be made only to the credit card which was used for payment of registration fees. The system administration fees (300 JPY transaction as refund) will be deducted from the total amount per registration record.

Due to the system and credit companies’ restrictions, refunds to the credit card can only be processed within 150 days from the date you had settled the payment. If more than 150 days have passed or your credit card has expired or due to any other unavoidable reason when a refund cannot be made to your credit card, only a refund via bank transfer is possible.

We would like to ask the registered participants who made payments via credit card to kindly check their credit card expiration date and the payment confirmation email’s date after acknowledging the information above.

In case of a refund via bank transfer, an overseas remittance fee and handling fee will be deducted from the total amount. For your reference please kindly see below

◆Overseas Remittance Fee: 6,500JPY + Bank Refund Handling Fee: 1,500JPY (For the Japanese bank account holders only the Bank Refund Handling Fee will be applied)

  3. You may be charged an intermediary bank charge not included in the amount above by an intermediary bank.
  4. You may be charged an inward remittance fee not included in the amount above by your bank.

We understand that many changes have been caused by the impact of COVID-19, so for those who notify the INORMS 2021 Registration Desk by 24th April, 2020 17:00 (Japan Standard Time) the refund to the credit card will be made with no bank transaction fee or bank refund handling fee so only a 300 JPY administration fee will be charged per registration record. If the refund is not possible by credit card for any reason or after 150 days from the settlement date, a bank transaction fee and refund handling fee will be charged for all refund requests received after 24th April, 2020 17:00 (Japan Standard Time).

Refund Policy of Registration Fees


This refund policy will be applied to those who had paid registration fees, fee for Congress Dinner and/or fee for visa by February 16, 2021 ONLY. If you had paid registration fees and have not received an e-mail with a refund form, please contact the INORMS 2021 Registration Desk.
As mentioned in the Credit Card Refund Policy, in general, the refunds will be made only to the credit card which was used for payment of registration fees. The system administration fees (300 JPY transaction as refund) will be deducted from the total amount per registration record.
However, Due to the system and credit companies’ restrictions, refunds to the credit card can only be processed within 150 days from the date you had settled the payment. If more than 150 days have passed or your credit card has expired or due to any other unavoidable reason when a refund cannot be made to your credit card, only a refund via bank transfer is possible. This time, most of all of you will get refund via bank transfer.

We will proceed refund below to registrant who had made payment previously.

*If you participate in INORMS 2021,
Refund amount:

  1. Full refund: Congress dinner (JPY12,000)
  2. Full refund: Visa application (JPY15,000)
  3. Partial refund: difference between old rate and new rate of registration fee (20% of the old rate of registration fees)

Charges:
the overseas remittance fee (JPY6,500) or remittance fee in Japan (JPY1,000) and bank refund handling fee (JPY1,500) will be borne by the organizer.

* If you will NOT participate in INORMS 2021,
Refund amount:

  1. Full refund: Congress dinner (JPY12,000)
  2. Full refund: Visa application (JPY15,000)
  3. Partial refund: until April 15, 2021, 25% of your registration fee (the old rate of registration fees)

After April 16, 2021, there is no refund.

Charges:
the overseas remittance fee (JPY6,500) or remittance fee in Japan (JPY1,000) and bank refund handling fee (JPY1,500) will be borne by you.

  5. Kindly note that the refund might be delayed due to the spread of COVID-19, we will proceed the refund within 2~3 months after the application deadline. The INORMS 2021 Registration Desk will inform you by email once the refund gets completed.
  6. All refund requests must be made by the registrant or credit card holder before April 15, 2021.
    If, despite your participation in INORMS 2021, the registration desk does not receive a refund form until Friday, May 14, 2021 17:00 (JST), your balance, including dinner and visa fees, will not be refunded.

Terms and Conditions


Personal information received via registration form will be kept in a secure location and they may be used only in INORMS 2021 related materials (e.g. congress delegate list).

  • We will store your personal information until three-month later of the conference (until the end of August, 2021).
  • Copyright of official images and photographs covering the event and their usage right on Mass Media belongs to the organizer.
  • In the unlikely case of cancellation of the event due to force majeure, the organizer shall not accept liability for any consequential loss and shall have no liability to reimburse registration fees and any other costs that may have been incurred, including transport costs, accommodation etc.
